Collecting, maintaining and reporting information on members or constituents is one of the more time consuming efforts in small staffed state associations and non-profit organizations. Capitol Impact’s web based membership management applications make the job easier, and enable more people in your organization to get involved.Since not all membership rules are the same from organization to organization, our ability to quickly tailor this application has helped more clients get exactly what they need. The following pages provide more back ground on our membership management tools.
Whether your organization is made up of individual people as members or organizations as members, Capitol Impact has the tools to help you manage this content and integrate it with your invoicing, payment processing, grassroots advocacy and communications systems. The key value of our membership management system is that we understand that you want one database to support everything you do.At the heart of our systems we use a PEOPLE file and an ORGANIZATIONS file. These two databases store the information on individuals including name, office address, home address, spouse, gender, legislative districts, and more. The Organization file stores the name and address or member organizations if your membership is based on organizations. The PEOPLE and ORGANIATIONS use a unique RELATIONSHIP function to connect people to their respective companies, without the need to duplicate any information in the system.
The membership database structure allows you to create membership groups which can be linked to the E-mail system for mass communications to members. Or, use our grassroots tools to link people to their respective legislators by where they live or work, to support your grassroots efforts.
Need Billing services to send out invoices? Capitol Impact has the tools to invoice the organization or invoice a person. And for payments, use a form from the Event Impact system so that members can pay on line using a credit card, saving you time in collecting your payments.

The PEOPLE database is for storing information about individual contacts that are connected to your organization. The PEOPLE database can store address data, e-mail and phone information, grassroots legislative district data and the groups that an individual belongs to for easier access to look at all the people in a group and to e-mail those people.
The dash board below shows how you can search the people database by Key Word Group on the left, or by individual field, or if you use the Event Impact registration system, retrieve the list of attendees to any event for which people have signed up.
If you need to build lists of people from existing groups or locations, the QUERIES button on the menu bar allows you to build your own query against the PEOPLE database and refine the lists with which you work.
The ORGANIZATIONS database is the place to store the master name and address for your member organizations. The Organizations can be related to people in the people file. The display below shows a single organization wit related people. The system lets you choose the naming of the relationships so that you can show the hierarchy of members from senior management through staff.
Relating PEOPLE and ORGANIZATIONS helps to fill out who belongs with each organization. You can use the relationships to designate people in different positions. Specify by title or specify who is toe be sent invoices. In the organizations file, use the E-mail button to send e-mails to the people related to an organizations, if you need to.
Capitol Impact creates an online invoice for you based on the items that you charge for. Each Invoice is recorded, to capture the history of invoices for each client.
You can reproduce any invoice by clicking on the invoice number.
Monitor the payment history for each member by viewing their organization file profile of invoices. Mark invoices paid and create statements from unpaid invoices.
Your members attend your events, and you want to keep the history of the events attended. The PEOPLE database is used in the Event Impact system. When a member registers, the Event Impact system helps locate his or her information before registration takes place, and then pre-populates registration forms with the members contact information. Once the registration is submitted, the system records the registration with the members other data to provide a history of events attended.
Capitol Impact’s integrated e-mail system can be used from many locations within the membership system. Retrieve a list from the people database, or e-mail the people associated with an organization. For Grassroots system users, you can go to specific legislative districts and retrieve the list of members who live or work in a district. The Capitol Impact e-mail system is a sophisticated service that allows for communicating with 1 member or all your members at once.
Create your communications with graphics, and text using our HTML text editor. Save your communcations for re-use, and link them to any lists.
Our system also tracks your e-mails and tells you who opened them, and which people rejected your e-mail so you can measure the reach of your communications and work on improving your membership database by analyzing the rejected e-mails.
Need to keep track of members in committees. Create the committee key words and assign people or Organizations to key words to enable you to retrieve lists associated with the key words. Capitol Impact’s membership tools can publish your committees on your site by including the key words in your menus.
